怎樣能快速寫出地道的英文郵件呢?最簡單的方法就是先記住一些常用的句型和表達方式,多在自己的郵件裡應用。郵件務必講究簡潔精煉,內容無需贅述,多記住幾個實用句型,一封格式正確,表達得體的郵件就搞定了。

【1.1開頭稱謂】
寫郵件第一步,首先要搞清楚對方的稱謂,怎麼稱呼收件人。
如果收件人確定,是自己認識的人,一般用Dear+收件人姓名即可。
在不知道是誰負責郵件涉及的事項時,可以用:
To whom it may concern(敬啟者)
Dear Sir / Madam,
Dear Professor xx(using last name)親愛的xxx教授
或者Hi there,Hi all,
【1.2 寒暄和問候】
開頭第一句一般是簡單的問候,與對方寒暄一下,即salutation.
初次聯絡:
Nice to meet you! / Nice to have you.
如果以前聯絡過,有段時間沒有聯絡,可以用:
I hope you are doing well.
I hope you’re having a wonderful day. / I hope you’re having a great week.
It"s great to hear from you.
還有一種很常見的問候方式是表達感謝,如果你們已經聯絡過,可以對對方之前的付出表示感謝,或者單純感謝對方抽出時間閱讀你的郵件。例如:
Thanks for contacting us! /Thank you for reaching out to us!
Thank you very much for the good news, we are happy!
Thanks for the quick response/reply.
Thanks for letting us know.
致歉(如果沒有及時回覆對方,可以先表達一下歉意):
Sorry for the slight delay in getting back to you.
We apologize for the delay and hope that it doesn"t inconvenience you too much. (我們為耽擱回信道歉,希望沒有給您帶來太多不便)
【1.3開篇介紹自己、表明意圖,提出問題或請求】
如果是直接給對方寫信,一般在簡單問候之後就直接點明來意。
例如:
I am writing to confirm /enquire/inform you... (我寫信時要確認/詢問/通知你)
可以加入感情色彩,例如“I am delighted/pleased/sorry to inform you that...”
I am writing to follow up on our earlier decision on the xxx. (我寫信來追蹤我們之前對於xxx的決定)
With reference to our telephone conversation today... (關於我們今天在電話中的談話)
As indicated in my previous e-mail... /As I mentioned earlier about... (如我在之前郵件中所提到的…/如我先前所說…)
需要對方提供幫助的時候,可以直截了當地向對方提出請求。多用would和if句,多用過去時態,語氣會顯得更為禮貌。
例如:
It would be nice if you could provide a bit more information on xxx. (您如果能提供一些xxx方面的資訊,我將感激不盡)
I would appreciate it very much if you would send me your reply by next Monday. (如果能在下週一前收到您的答覆,我將非常感激)
We seek your assistance to cascade this message to xxx. (希望您能將此資訊傳達給xxx)
如果是給對方的回覆,可以用這些句子開頭:
I have just this moment received your letter and I am writing at once because…(我此時收到你的來信,便立即寫信,因為……)
Your letter of … was duly received(你的……來信已收到)
Your letter came to(reached)me thismorning…(今早收到你的來信)
有些時候只需要非常簡短、快速的回覆對方:
Ok great, please keep me posted. (很好,請隨時與我保持聯絡)
如果暫時無法回覆對方,可以用“get back”:
I will get back to you tomorrow. (我明天再回復你)
當然,你也可以表達不滿,比如給客服或服務商寫信反映問題,例如:
I am writing to complain about the quality of a product I bought from your website. /the poor service we received from your company.
【1.4附件】
有附件時記得要在正文裡說明,最簡單的表達“Please find attached…(+附件內容)”,例如:
Please find attached my resume. (我的簡歷請見附件)
I attached the report/document/ and let me know what you think.
I attached the image/invoice you request.
【1.5結束語】就結尾來講,一般都是表達對回信的期待或者是對於整篇郵件的總結。
If you have any further questions, please feel free to contact me. /If you have any questions or concerns, don"t hesitate to let me know. ( 如果你有任何問題,請不要客氣與我聯絡)
Please feel free to call me at any time, I will continually provide full support. (請隨時跟我聯絡,我會持續地提供全程支援)
Please let me know if this is suitable. ( 請讓我知道這是否恰當)
Looking forward to seeing you soon. ( 期待很快能見到你)
Than kyou, and I look forward to hearing from you. (較為正式的表達)
如果是溝通交流工作的商務郵件,很可能需要對方對自己的工作提出指正和建議,可以說:
Look forward to your feedbacks and suggestions soon. (期待您的反饋和建議)
Feel free to give your comment. (請隨意提出您的建議)
Any comments will be much appreciated. (對於您提出的任何建議,我將深表感謝)
在結束郵件之前,也可以再次感謝收信人並加上些禮貌語結尾。郵件開頭的感謝一般是對對方過去的付出表達感謝,而郵件結尾處則是對將來可能的幫助表示感謝。事先表示感謝,能讓對方在行動時更主動,更樂意。
你可以用"Thank you for your patience and cooperation. / Thank you for your consideration. / Thank you for your attention to this matter.”
這些句子,對對方將來可能給到的幫助表示感謝。
如果郵件裡提到可能對對方造成負面影響的內容,可以說”Thank you for your
understanding.”
如果你開頭已經感謝過了,結尾可以著重再次感謝對方的付出:
【1.6 落款】
最後,加上恰當的落款和署名,就可以點發送了。
最常見的落款就是“Sincerely/Sincerely Yours/YoursSincerely”,這是標準的信件結束語,商務、休閒、正式通訊都可使用,如果你不確定如何落款,那就用“Sincerely”。
不那麼正式的時候可以用:Kind regards, /Best regards ;Best, / All Best, / All the Best
Cheers,/Love, /Best wishes, /Take care, 一般用於朋友熟人之間,語氣隨意的時候。
當你的郵件是想提供幫助和支援時,也可以用:Hope this helps

對於詢問,一定加Please在句子當中

注意單詞應用的準確性
